This Privacy Policy explains how Survivors Protective Services (“we”, “us”, “our”) collects, uses, shares, and protects information when you use the QR Attendance mobile application (the “App”) and related services (collectively, the “Service”).

If you do not agree with this Privacy Policy, do not use the Service. By using the Service, you acknowledge you have read and understood this Privacy Policy.

1. Who We Are

Survivors Protective Services provides security operations support, including guard attendance recording, site reporting, and operational oversight through the QR Attendance App.

2. Information We Collect

We collect information in the following categories:

2.1 Account & Profile Information

  • Name, employee/guard ID, license number (if provided), phone number, email address.
  • Role/permissions (e.g., guard or administrator).
  • Optional contact details such as contact email and emergency contact information.

2.2 Attendance & Operational Data

  • Check-in/check-out events or scan submissions (date/time and the related site/QR point).
  • Notes entered during scans or manual entries.
  • Site identifiers and details relevant to your attendance record (e.g., project/site name).

2.3 Location Data

The Service may collect location data during attendance submissions to support verification, auditing, and reporting. Location may include approximate location, coordinates, and measurement/accuracy signals, depending on device settings.

2.4 Photos & Media

If enabled by your workflow, the Service may collect photos associated with attendance records. Photos may contain visual information captured at the time of attendance submission.

2.5 Device & Technical Information

  • Device identifiers (such as device ID), platform information, and app version.
  • Diagnostics and security-related logs necessary to maintain the Service.

3. How We Use Information

We use information to:

  • Provide and operate the Service (attendance tracking, reporting, site verification workflows).
  • Maintain account security, manage roles/permissions, and prevent unauthorized access.
  • Generate PDF reports, share/export reports, and send scheduled or manual reports to authorized recipients.
  • Support operational oversight and compliance processes, including audit trails.
  • Improve reliability, troubleshoot issues, and maintain performance.

4. How We Share Information

We do not sell your personal information. We may share information only as needed to provide the Service, including:

  • Within Survivors Protective Services: with authorized staff and administrators for operational use, compliance, and support.
  • Authorized recipients: report recipients configured by administrators (for example, clients or managers who should receive scheduled attendance reports).
  • Service providers: third-party infrastructure providers used to host data, generate reports, and deliver emails. These providers process data on our behalf under appropriate safeguards.
  • Legal & safety: if required to comply with law, enforce our agreements, or protect rights and safety.

5. Data Retention

We retain information for as long as necessary to provide the Service and meet operational, audit, or legal requirements. Retention periods may vary based on your organization’s policies and the purpose of the data (e.g., attendance record retention).

6. Security .

We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, and alteration. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Choices & Rights

  • Account updates: you may update certain profile fields where the Service allows.
  • Access and correction: you may request access to or correction of your information subject to applicable laws.
  • Location & camera permissions: you can control permissions through your device settings. Some features may not work properly if permissions are denied.

8. Children’s Privacy

The Service is intended for business and workforce use and is not directed to children. We do not knowingly collect personal information from children.

9. International Transfers

Depending on where you access the Service and where our service providers operate, information may be processed in jurisdictions different from your own. We take steps to ensure appropriate protections where required.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date and, where appropriate, provide additional notice. Your continued use of the Service after updates means you accept the updated policy.
